Galloway Farmstay – Booking Terms & Conditions

These Booking Terms & Conditions apply to accommodation booked with Galloway Farmstay at Claunch, Broughton and Seascape.

Please read these terms carefully before making a booking. By confirming a booking, the lead guest agrees to these terms on behalf of everyone included in the booking.

1. Making a Booking

The person making the booking must be at least 18 years old and have authority to make the booking on behalf of all members of the party.

A booking is confirmed when we have accepted the booking and any required deposit or payment has been received.

Please check your booking confirmation carefully and contact us promptly if any information is incorrect.

2. Payment

The price of your stay and the payment arrangements will be shown when you book or on your booking confirmation.

Any outstanding balance must be paid by the date stated on your booking confirmation.

If payment is not received when due, we will contact you and may ultimately treat the booking as cancelled if payment remains outstanding.

3. Guest Cancellations

If you need to cancel your stay, please contact us as soon as possible.

Any cancellation charge will be calculated reasonably, taking account of factors such as how much notice has been provided, costs already incurred, costs saved as a result of the cancellation and whether we are able to re-let the accommodation.

Where we successfully re-let all or part of the cancelled dates, this will be taken into account when calculating any amount retained.

We strongly recommend that guests arrange appropriate UK holiday/travel insurance covering cancellation, illness and other circumstances that could prevent them from travelling.

4. Cancellation by Galloway Farmstay

Very occasionally circumstances outside our reasonable control may mean that we cannot provide the accommodation booked.

If we have to cancel your booking before your stay and cannot offer you a suitable alternative which you choose to accept, we will refund the accommodation payments made to us for the affected booking.

Nothing in these terms affects your statutory rights.

5. Arrival & Departure

Your arrival and departure times will be provided with your booking information.

Please do not arrive before the stated check-in time unless this has been agreed with us in advance.

Guests must vacate the property by the stated check-out time on departure day so that we have sufficient time to prepare the cottage for our next guests.

Early check-in and late check-out are subject to availability and must be agreed in advance.

6. Maximum Occupancy

The maximum occupancy of our cottages is:

• Claunch – sleeps up to 4 guests

• Broughton – sleeps up to 6 guests

• Seascape – sleeps up to 4 guests

The number of overnight guests must not exceed the maximum occupancy of the property.

Only guests included in the booking may stay overnight unless we have agreed otherwise in advance.

The property must not be used for parties, events or gatherings involving additional visitors without our prior permission.

7. Care of the Property

We ask guests to treat the cottage, furnishings, equipment and surrounding areas with reasonable care.

Please leave the property in a reasonably clean and tidy condition when you depart.

Normal cleaning is included as part of your stay.

However, we reserve the right to seek reimbursement for reasonable additional costs resulting from significant damage, missing items or cleaning required substantially beyond what would normally be expected following a holiday stay.

Please tell us about accidental damage or breakages as soon as possible. We understand that accidents happen and early notification often makes problems much easier to resolve.

8. Working Farm

Claunch and Broughton are situated on working farms.

Staying on a working farm is part of the Galloway Farmstay experience, but guests should be aware that normal agricultural activities continue throughout the year.

This may include:

• Cattle and other livestock

• Tractors, quad bikes and agricultural machinery

• Farm vehicles

• Farm workers

• Agricultural operations

• Farmyard and livestock noise

• Mud and uneven surfaces

• Seasonal farming activities

Our pedigree Aberdeen Angus cattle graze the surrounding fields for much of the spring and summer and are generally housed during wetter winter periods.

Farming activities may begin early in the morning or continue into the evening depending on the season, weather and needs of the livestock.

We make every reasonable effort to minimise unnecessary disturbance while recognising that this is an operational farm.

9. Livestock & Farm Safety

Guests must respect all signs, gates, fences and instructions relating to the farm.

Please:

• Do not enter farm buildings, sheds or restricted working areas unless invited to do so.

• Do not approach, touch or feed cattle or other livestock unless specifically authorised.

• Keep clear of tractors, machinery and working farm vehicles.

• Leave gates as you find them.

• Follow any safety instructions given by the farmer or Galloway Farmstay.

Farm animals can behave unpredictably, particularly when they have young calves.

10. Children

Children are very welcome at Galloway Farmstay.

Parents and guardians remain responsible for supervising children throughout their stay.

Particular care should be taken around farmyards, livestock, machinery, roads, ponds, water, uneven ground and other features of the countryside.

Children must not enter working farm areas or approach livestock without permission and appropriate supervision.

11. Dogs & Pets

Where pets are accepted as part of a booking, owners remain responsible for them at all times.

Dogs must be kept under proper control, particularly anywhere near livestock.

Dogs must not be allowed to chase, disturb or approach farm animals.

Please clean up after your dog and dispose of waste responsibly.

Pets should not be left unattended in a cottage if doing so could result in distress, noise or damage.

Any property-specific pet restrictions communicated at the time of booking also apply.

12. Hot Tubs

Where a hot tub is provided with your accommodation, guests use it subject to the instructions and safety information provided.

Guests must:

• Follow the operating and safety instructions.

• Supervise children appropriately.

• Never use glassware in or immediately around the hot tub.

• Replace the cover after use.

• Avoid contaminating the water with food, drinks or other substances.

• Observe the stated hours of use.

Where a hot-tub curfew applies, use must finish by the stated time. Any applicable restriction will be communicated for the property.

Guests should not interfere with the hot tub's controls, filtration or treatment equipment other than controls intended for normal guest use.

13. Smoking & Vaping

Smoking is not permitted inside any Galloway Farmstay property.

Please also take particular care outdoors because the cottages are situated in rural areas where dry grass, crops, farm materials and other combustible materials may be present.

Cigarette ends must be extinguished completely and disposed of responsibly.

Any property-specific rules regarding vaping must also be observed.

14. Noise & Guest Behaviour

We want all our guests to enjoy a peaceful stay.

Please behave responsibly and show consideration towards neighbours, local residents, farm workers and other people in the area.

Excessive noise, disruptive parties, dangerous behaviour or illegal activity will not be tolerated.

Serious or persistent behaviour that creates a significant safety risk or unreasonable disturbance may result in guests being required to leave, subject to applicable law.

15. Wi-Fi, Smart TVs & Technology

Our cottages have Wi-Fi and Smart TVs for guests to enjoy.

While we aim to maintain these services, rural broadband, telecommunications and third-party streaming services can occasionally be interrupted.

We cannot guarantee uninterrupted internet access, particular connection speeds or the continued availability of individual third-party television or streaming services.

Guests are responsible for their own accounts and subscriptions where these are required.

Please remember to log out of personal streaming accounts before departure.

16. Parking & Electric Vehicles

Vehicles must be parked only in designated or agreed parking areas.

Please take care around farm traffic and keep access routes clear for agricultural and emergency vehicles.

Electric vehicles must not be charged from ordinary domestic sockets at the property.

17. Outdoor Activities

Clay pigeon shooting, archery and axe throwing may be available by prior arrangement.

These activities are not automatically included with your accommodation booking and must be booked separately in advance.

Activities are subject to availability, suitable conditions and applicable safety requirements.

Separate activity terms, safety rules and participation requirements may apply.

18. Problems During Your Stay

We want you to enjoy your stay.

If something is wrong with the accommodation, please contact us as soon as reasonably possible during your stay.

Reporting a problem promptly gives us the opportunity to investigate and, where reasonably possible, put matters right.

If the issue cannot be resolved during your stay, please contact us after departure so that we can review the matter.

Nothing in this section affects your statutory consumer rights.

19. Events Outside Our Reasonable Control

Events can occasionally occur that are outside our reasonable control.

These might include severe weather, interruption to utilities or transport, government restrictions, emergency situations or other events that could not reasonably have been prevented.

If such circumstances materially affect your booking, we will communicate with you as soon as reasonably possible and deal with the situation fairly,

20. Liability

Guests are responsible for taking reasonable care of themselves, their children, pets and personal belongings during their stay.

We are not responsible for loss or damage that was not reasonably foreseeable or was caused by the guest's own actions or failure to take reasonable care.

21. Accuracy of Information

We make reasonable efforts to ensure descriptions, photographs and information about our cottages are accurate.

Minor changes may occasionally occur as properties are maintained and improved.

If a significant change affecting your booking becomes necessary before arrival, we will contact you where reasonably practicable.

22. Personal Belongings

Please take reasonable care of your belongings during your stay and check the property thoroughly before departure.

If you leave something behind, please contact us and we will make reasonable efforts to locate it.

Guests may be asked to cover reasonable postage or courier costs for returning lost property.

 

23. Governing Law

These Terms & Conditions and your booking are governed by Scottish law, subject to any mandatory consumer rights that apply to you.

Any dispute will be dealt with by the courts having jurisdiction under applicable law.
